Terms and Conditions of Participation — FitNation Expo 2026
The following Terms and Conditions (hereinafter, the “Terms”) govern the participation of all individuals and entities (hereinafter collectively referred to as “Participants” and individually as “Visitor,” “Exhibitor,” or “Sponsor,” as applicable) in the event known as FitNation Expo 2026 (the “Event”), organized and administrated by Tamkeen Exhibitions, a legal entity registered and operating under the laws and jurisdiction of the State of Qatar, including its subsidiaries, agents, affiliates, authorized contractors, and appointed representatives (hereinafter referred to as “Tamkeen,” “We,” “Our,” or “Us”)
By registering through our official online platform (https://tamkeenexpo.com), you acknowledge and affirm that you have read, understood, and irrevocably accepted these Terms in full, including all supplemental provisions, policies, schedules, and annexes that may be updated from time to time without prior individual notice.
1. Definitions
For the purposes of this Agreement:
- “Participant” / “You” / “Your” means any person or entity who completes the registration process as a Visitor, Exhibitor, or Sponsor.
- “Visitor” refers to a registered individual attending the Event for the purposes of observation, learning, or exploration, without engaging in commercial exhibition or sponsorship.
- “Exhibitor” means any registered business or representative thereof granted permission by Tamkeen to present, display, or demonstrate goods or services within the Event premises.
- “Sponsor” denotes any entity that has entered into a formal agreement with Tamkeen Exhibitions involving financial or in-kind contributions in exchange for brand visibility or other negotiated benefits.
- “Personal Data” includes all information provided by the Participant during registration or participation, including name, company, email, phone number, and other identifying or proprietary data.
2. Registration and Acceptance
2.1 Eligibility and Accuracy:
Participants must submit complete, accurate, and verifiable information during registration. Tamkeen reserves the exclusive right, at its sole discretion and without obligation to provide justification, to reject, cancel, or revoke any registration deemed incomplete, misleading, fraudulent, or otherwise non-compliant.
2.2 Confirmation and Deliverables:
Upon acceptance of registration, Participants will receive a digital confirmation, inclusive of logistical details and, where applicable, a QR code, digital badge, or entry pass. Receipt of such confirmation does not confer any specific rights or entitlements beyond access, as defined solely by Tamkeen.
2.3 Special Requirements:
Requests pertaining to dietary preferences, accessibility accommodations, or special assistance must be formally submitted at least ten (10) working days prior to the Event. Tamkeen makes no warranties, explicit or implied, regarding fulfillment of such requests.
2.4 Data Sharing Consent:
By registering, you unconditionally consent to the collection, storage, processing, and third party transmission of your Personal Data for purposes that include, but are not limited to, Event operation, networking facilitation, commercial follow-up, analytics, and future marketing.
2.5 Security Acknowledgment:
You acknowledge that while Tamkeen implements reasonable data protection protocols in accordance with local and international best practices, no system is impervious to breach or failure. Participation constitutes a waiver of liability for any data loss, leakage, or unauthorized access that may occur despite such precautions.
3. Health, Safety, and Risk Management
3.1 Health & Safety Disclaimer:
Attendance and participation are strictly at your own risk. Tamkeen disclaims all liability for any personal injury, illness, or loss arising from or related to participation, including but not limited to pandemics, accidents, or negligence on the part of third parties.
3.2 Compliance with Safety Protocols:
Participants are required to adhere to all health, safety, and security regulations issued by Tamkeen or the Event venue. Failure to comply may result in immediate removal without compensation or refund, and without further notice.
3.3 Force Majeure:
Tamkeen shall not be deemed in breach of these Terms or otherwise liable for any delay, cancellation, or failure in performance arising from events or circumstances beyond its reasonable control, including but not limited to natural disasters, pandemics, governmental orders, or systemic infrastructure failure.
4. Fees, Cancellations, and Refunds
4.1 Non-Refundable Commitment:
All registration fees, sponsorship contributions, booth payments, or related remittances made to Tamkeen by Exhibitors or Sponsors are strictly non-refundable under any circumstances, including but not limited to Participant withdrawal, schedule modifications, venue changes, or dissatisfaction with the Event.
4.2 Waiver of Legal Remedies:
By registering as an Exhibitor or Sponsor, you expressly waive any and all rights to initiate, pursue, or maintain legal claims, complaints, arbitration, or court proceedings against Tamkeen Exhibitions—whether within the State of Qatar or any other jurisdiction—relating to payment disputes, refund claims, perceived damages, or unsatisfactory outcomes associated with Event participation.
5. Data Protection and Communication
5.1 Usage of Personal Data:
Tamkeen processes and uses Personal Data in accordance with applicable Qatari laws and international data governance standards. Such usage includes, without limitation, operational communications, badge issuance, matchmaking tools, and analytical review.
5.2 Publication & Opt-Out:
Participant details may be included in official attendee directories, mobile applications, or networking features. Participants wishing to withhold data must submit a formal opt-out request to marketing@tamkeenexpo.com no later than fifteen (15) working days prior to the Event.
5.3 Marketing Communications:
By participating, you grant Tamkeen the irrevocable right to communicate with you post-event regarding future editions, updates, or related offerings. You may unsubscribe at your discretion, though transactional communications may still apply.
6. Intellectual Property and Use Restrictions
6.1 Ownership of Content:
All intellectual property related to the Event—including branding, designs, presentation material, media, and audiovisual assets—is exclusively owned by Tamkeen or its licensed partners. Unauthorized reproduction, distribution, or modification is strictly prohibited.
6.2 Branding Usage:
The Tamkeen name, logo, and associated branding may not be used in any promotional, digital, or printed material without prior express written consent. Violations may result in legal action and immediate termination of participation rights.
7. Participation Rules and Conduct
7.1 Admission & Badging:
Entry is granted exclusively upon presentation of a valid Event badge (physical or digital). Tamkeen reserves the right to charge for reissuance or to deny entry if misuse or fraud is suspected.
7.2 Professional Behavior:
All Participants must conduct themselves in a professional, ethical, and respectful manner. Disruptive, offensive, or unlawful behavior will result in immediate expulsion without refund or recourse.
7.3 Exhibition Restrictions:
Exhibitors and Sponsors must confine their commercial activities strictly within their allocated spaces. Unauthorized promotion in public or other exhibitor areas is prohibited.
7.4 Media Consent:
You acknowledge and grant Tamkeen the perpetual, royalty-free right to capture and use your image, likeness, or voice as part of Event-related recordings, photography, or promotional assets without compensation or approval.
8. Legal Limitations and Indemnification
8.1 Liability Disclaimer:
Tamkeen Exhibitions, its partners, employees, and agents shall bear no liability for direct, indirect, incidental, or consequential damages, including but not limited to data loss, injury, business interruption, or reputational harm arising from Event participation.
8.2 Indemnity Clause:
Participants agree to indemnify, defend, and hold harmless Tamkeen against any claims, costs, damages, or losses resulting from their participation, negligence, or violation of these Terms.
8.3 No Guarantees:
Participation does not imply or guarantee business success, partnership formation, or commercial outcomes. All engagements are voluntary and undertaken at your own risk.
8.4 Limitation of Action:
Any claims against Tamkeen, if permitted by law, must be brought within thirty (30) days following the conclusion of the Event. No Participant shall have standing to file claims beyond this prescribed period.
9. Amendments and Governing Law
9.1 Modifications:
Tamkeen reserves the right to revise, amend, or augment these Terms at its sole discretion. Updates shall be deemed effective upon publication on the official Event website.
9.2 Governing Law:
These Terms are construed in accordance with the laws of the State of Qatar. All disputes, controversies, or claims arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of Qatar, and no other venue shall be deemed appropriate or competent.
